While many communities and organizations have increased their commitment to proper recycling of old hardware and their hazardous chemicals, what happens to your data once the system is out of your hands? Simply hitting the “delete” key is not a sufficient safeguard to protect any personal or confidential business information. There is a lot of un-secured data on discarded media and hard drives that could potentially be used for criminal activity or identity theft.


It is hard to determine or control where your old computer hardware and media ends up after it’s been discarded. It may pass through the hands of a number of people and vendors on its way to being destroyed, recycled, resold, or refurbished. If you pay attention to the news (or read Platter Chatter regularly), you’ll often hear stories of personal data being retrieved from hard drives sold on eBay, or banking data recovered from inventory sell-off machines. The data sitting in a warehouse loading dock or random dumpster is ripe for the picking.


Protecting yourself against this kind of data invasion is usually pretty easy, but not many of us take the time to invest in our own protection. Sound familiar? How many of us put off the little bit of maintenance and housekeeping needed to keep our machines running in tip-top shape, only to pay the price later? Well, for an almost no-brains solution to backing up, “One day” is here. Mostly.

Data Safety Series A variety of online backup services offer desktop-syncing programs to provide automatic backups of specific folders or files. Many of the services offer free, lite-versions of their backup applications with limited online storage but until now these have been fairly tech-centric requiring a high level of technical knowledge or competency.

Now, following some successful beta launches, Microsoft has now made available the Windows Live Essentials 2011 suite for Windows Vista and 7, and included is “Windows Live Sync.” If you have a Windows Live ID, you can use the Sync software to synchronize up to 2Gb of data. And with Microsoft Office 2010, you can use your Windows Live ID to store and share documents on Microsoft SkyDrive, Microsoft’s online sharing and storage service.

Not a Windows Live User? DropBox (www.dropbox.com) also offers a lite version of their cloud-based sync software. Simply download a small program to your computer, and after it installs any files copied into your local “dropbox” will automatically be sync’ed with DropBox’s servers online, for any time, any where access.

For more manual control, Gmail users can now upload any file types to Google Docs, so if you really needed to control just a few critical files, you can now store then for free in your Google account. The drawback here is there is no automatic folder syncing, but for those requiring granular control of just a few files, loyal Gmail users can stay in the Googleverse.

While other companies offer some similar online backup/synchronizing services, with Microsoft’s large userbase and ease-of-use software, this backup solution can be easily recommend to all.

Even in Space, It’s Not a Matter of If, But When Digital Disaster will Strike

'SpaceCube' example of a specialized computer for space missions with extra shielding to alleviate errors caused by radiation in space; Credit: NASA Astronauts aboard the much talked about and followed final Space Shuttle mission experienced a computer glitch and were found scrambling early Friday morning. Aboard a space shuttle mission astronauts have a busy schedule of performing tests and experiments, doing science studies, delivering goods to the International Space Station as well as ceremonial events like greetings from Presidents and famous musicians back on Earth. Getting some sleep, while part of the schedule, can be a challenge on its own. The last thing a shuttle crew wants is to be woken up unexpectedly. That’s what happened late Thursday night/Friday morning when an alarm started sounding that a computer had failed and the crew had to jump out of their slumber to see what was up.

As the unexpected computer failure alert was signaled, the crew got down to finding out what was wrong and taking action to get business back to normal in the middle of the night. Getting data and backup software programs to an alternate machine were some of the measures needed to get things running again. Daily operations make use of anywhere between 2 and 4 of the main shuttle computers, while super-critical moments like re-entry into the Earth’s atmosphere use all 5 onboard computers. Types of Computer File Systems

Types of Computer File SystemsFile system types can be classified into disk file systems, network file systems and special purpose file systems.


1. Disk File Systems:


a) Disk file systems
A disk file system is a file system designed for the storage of files on a data storage device, most commonly a disk drive, which might be directly or indirectly connected to the computer. Examples of disk file systems include FAT (FAT12, FAT16, FAT32, exFAT), NTFS, HFS and HFS+, HPFS, UFS, ext2, ext3, ext4, btrfs, ISO 9660, ODS-5, Veritas File System, VMFS, ZFS, ReiserFS and UDF. Some disk file systems are journaling file systems or versioning file systems.


b) Optical discs
ISO 9660 and Universal Disk Format (UDF) are the two most common formats that target Compact Discs, DVDs and Blu-ray discs. Mount Rainier is a newer extension to UDF supported by Linux 2.6 series and Windows Vista that facilitates rewriting to DVDs in the same fashion as has been possible with floppy disks. 
c) Flash file systems
A flash file system is a file system designed for storing files on flash memory devices. These are becoming more prevalent as the number of mobile devices is increasing, and the capacity of flash memories increase.


While a disk file system can be used on a flash device, this is suboptimal for several reasons:


a) Erasing blocks: Flash memory blocks have to be explicitly erased before they can be rewritten. The time taken to erase blocks can be significant, thus it is beneficial to erase unused blocks while the device is idle.
b) Random access: Disk file systems are optimized to avoid disk seeks whenever possible, due to the high cost of seeking. Flash memory devices impose no seek latency.
c) Wear levelling: Flash memory devices tend to wear out when a single block is repeatedly overwritten; flash file systems are designed to spread out writes evenly.


d) Tape file systems
A tape file system is a file system and tape format designed to store files on tape in a self-describing form. Magnetic tapes are sequential storage media with significantly longer random data access times than disks, posing challenges to the creation and efficient management of a general-purpose file system.


In a disk file system there is typically a master file directory, and a map of used and free data regions. Any file additions, changes, or removals require updating the directory and the used/free maps. Random access to data regions is measured in milliseconds so this system works well for disks.


However, tape requires linear motion to wind and unwind potentially very long reels of media, and this tape motion may take several seconds to several minutes to move the read/write head from one end of the tape to the other.


Consequently, a master file directory and usage map can extremely slow and inefficient with tape. Writing typically involves reading the block usage map to find free blocks for writing, updating the usage map and directory to add the data, and then advancing the tape to write the data in the correct spot. Each additional file write requires updating the map and directory and writing the data, which may take several seconds to occur for each file.


Tape file systems instead typically allow for the file directory to be spread across the tape intermixed with the data, referred to as streaming, so that time-consuming and repeated tape motions are not required to write new data.


However a side effect of this design is that reading the file directory of a tape usually requires scanning the entire tape to read all the scattered directory entries. Most data archiving software that works with tape storage will store a local copy of the tape catalog on a disk file system, so that adding files to a tape can be done quickly without having to rescan the tape media. The local tape catalog copy is usually discarded if not used for a specified period of time, at which point the tape must be re-scanned if it is to be used in the future.


IBM has developed a file system for tape called the Linear Tape File System. The IBM implementation of this file system has been released as the open-source IBM Linear Tape File System — Single Drive Edition (LTFS—SDE) product. The Linear Tape File System uses a separate partition on the tape to record the index meta-data thereby avoiding the problems associated with scattering directory entries across the entire tape.
Tape formatting


Writing data to a tape is often a significantly time-consuming process that may take several hours. Similarly, completely erasing or formatting a tape can also take several hours. With many data tape technologies it is not necessary to format the tape before over-writing new data to the tape. This is due to the inherently destructive nature of overwriting data on sequential media.


Because of the time it can take to format a tape, typically tapes are pre-formatted so that the tape user does not need to spend time preparing each new tape for use. All that is usually necessary is to write an identifying media label to the tape before use, and even this can be automatically written by software when a new tape is used for the first time.


e) Database file systems


A recent concept for file management is the idea of a database-based file system. Instead of, or in addition to, hierarchical structured management, files are identified by their characteristics, like type of file, topic, author, or similar metadata.


f) Shared disk file systems
A shared disk file system is one in which a number of machines (usually servers) all have access to the same external disk subsystem (usually a SAN). The file system arbitrates access to that subsystem, preventing write collisions. Examples include GFS from Red Hat, GPFS from IBM, and SFS from DataPlow.


2. Network file systems


A network file system is a file system that acts as a client for a remote file access protocol, providing access to files on a server. Examples of network file systems include clients for the NFS, AFS, SMB protocols, and file-system-like clients for FTP and WebDAV.


3. Special purpose file systems


A special purpose file system is basically any file system that is not a disk file system or network file system. This includes systems where the files are arranged dynamically by software, intended for such purposes as communication between computer processes or temporary file space.


Special purpose file systems are most commonly used by file-centric operating systems such as Unix. Examples include the procfs (/proc) file system used by some Unix variants, which grants access to information about processes and other operating system features.


Deep space science exploration craft, like Voyager I and II used digital tape-based special file systems. Most modern space exploration craft like Cassini-Huygens used Real-time operating system file systems or RTOS influenced file systems. The Mars Rovers are one such example of an RTOS file system, important in this case because they are implemented in flash memory.

Keep the external enclosure!

There is a relatively new phenom in the hard drive industry. Hard Drive enclosures have become a crucial part of the recovery process with some external USB hard drives. If your external drive encrypts the data for you, then be sure to keep the enclosure with the drive when you send it in for repair/recovery and make sure you make a note to keep the enclosure intact and with the drive. If you are unsure whether or not your dirve might be encrypted, be on the safe side and keep the enclosure.

Don’t assume the professional you’ve entrusted your drive to knows that the enclosure could make or break the recovery results. We have had several projects over the past 6 months that have required us to retrieve the enclosure from the client or the company that had the drive before being shipped to our lab.  Recently, an enclosure had been thrown in the dumpster and could not be retrieved.

To be on the safe side, if you need data recovery for an external hard drive the safest course of action is to simply send the enclosure along with the drive. The drive doesn’t need to be inside, just included in the box. If you’ve been told the data is not recoverable send it in for a second opinion. We’ve had several successful recoveries from drives that were declared unrecoverable from other data recovery companies.

Are Your Archives Safe?

Most companies with any sort of important historical data have archives. Years of old data packed away in the basement collecting dust. However, it is important to note that even they can be at risk for disasters.


Recently a television station lost much of its 37 years of archived footage. Fire damage was to blame for gutting the news studio and the offices. Thankfully no one was injured but much of the station’s history will be forever lost.


Often times it may not be possible to keep backups of all formats of data but this serves as a reminder that disaster can strike at any time. Archived or not, the protection and maintenance of original data should be on the minds of many today’s companies. While many of our home users may not have 30 years of data to protect, I believe all of them would agree it is just as important.


Always keep a backup of important data. Try to store multiple copies in different locations. If all else fails, talk to a CBL recovery expert about your situation. We are always ready to help.


 

A Plan, a Contingency Plan, and an Emergency Plan

In military school it was taught to always have a plan, a contingency plan, and an emergency plan in place before moving forward to achieve the objective.  In business, most people understand that a business always needs a plan, but few know that a contingency plan is also needed to be put in place in case something in the plan goes wrong.  Even fewer people understand the importance of an emergency plan in case the contingency plan fails, until it is too late.

For eleven years I have worked in the data recovery industry working with Fortune 500 companies and government agencies.  100% of the businesses and agencies that I have worked with had no emergency plans in place, which costs them time and money.  After catastrophic events such as hurricanes, fires, and floods businesses are usually working with consultant to prepare plans for disaster recovery.  Unfortunately, many consultants workout plans and contingency plans for businesses, but fail to recognize and put in place emergency plans.

Take for example data from a Fortune 500 company.  By 2011, all Fortune 500 companies should all have a disaster recovery plan in place for their data.  The plan usually consists of making the data redundant through servers that store the data on a redundant array of independent disks (RAID).  The contingency plan usually involves the data being copied and stored offsite through tapes or mirrored offsite servers in data centers.  Unfortunately, this is where the planning stops.  No emergency plan is offered in case everything goes wrong.

When the failure occurs it leaves the IT personnel and management of the company to develop crisis techniques and solutions on the fly, which usually proves to be more harmful than helpful.  Once the panic has subsided they start reaching out for data recovery experts.  Finding experts take time and money.  Capabilities, security, responsiveness, accreditations and costs are all important factors to consider when vetting the correct expert.  Usually a number of these factors are not considered when a company is in a panic.  Both time and money could have been avoided by putting in place an emergency plan that vetted and secured the correct expert.

Data Recovery - Drive Failure

If data recovery is to be performed on hard drives, there are two types of issues that could arise - software and hardware, or even a combination of both. Data recovery - drive failure, so to speak, has to be carefully handled. Loss of data can be permanent, otherwise.

If it is a software issue, which presumably most of us will encounter, the likely problems usually include - accidental file deletion, hard drive formatting, corrupted file system, deleted partition etc.

Hardware issues, not discussed in depth here, include drives making clicking or hissing noises, hard drive damage caused by a power surge, and damage brought about by contact with water. External drives may fail after being accidentally dropped, mishandled and so on.

Data recovery normally begins with a diagnostic on the failing hard drive to identify the damage and failing component.  The diagnostic helps to identify the proper method to be used to recover the lost data.

In a software data recovery process, a clone or replica of the damaged hard drive is made. The recovery process will then proceed on the copy or clone, thus ensuring that the source remains intact. 

Data recovery is a very delicate process. The data recovery process must be undertaken with specialized data recovery software. If the damage is severe, the files recovered may be useless.  And its also possible that tools to read the data off the surface in the process of recovery can cause further damage by adding additional bits to the stored content.

The data successfully recovered is moved and saved on to a new media, e.g a hard drive, flash drives or even an optical disk depending on the amount of data involved. 


To quite an extent, available software can ease recovery. But in more serious cases, expert assistance will be the better way to go in the quest for data recovery - drive failure mitigation.
